Requirements Timeline

Before you start

  • Completing your I-9 is required before we can set up your Western accounts and before you can work. If you are able to do this at least 14 days before your start date, it will make it easier for us to have you ready to go on day 1. Stop by HR (Humanities Room 203) during our office hours (Mon-Fri, 8am-5pm) to complete your I-9 in person.  If this is not an option for you, please email to schedule an appointment to complete your I-9 remotely. 
  • All employees must comply with our Immunization policies, including COVID vaccination by time of hire and Proof of Rubeola Measles Immunity within 60-days of hire. Please reach out to if you need information regarding medical or religious exemption and applicable accommodations.
  • Benefits information: 
    • General information on insurance and retirement benefits
    • If you are benefits eligible you will receive communication from HR. Please access the task list in your New Hire Portal* for benefits information and enrollment documents that are specific to your new role. If you are a non-tenure track faculty member and have questions about benefits eligibility, please contact HR.
  • Payroll/direct deposit information
  • Access your new hire paperwork here (some of these items can also be found in your New Hire portal, see below)

*How to access your New Hire portal and tasklist:

  • Before your Universal ID is set up: Login to the careers page, then click "Go to employee portal"
  • After your Universal ID is set up: Login to PageUp, and click on "Onboarding"

On your first day

  • Benefits-eligible faculty will be invited to attend a 60 minute QuickStart session close to your start date.
  • If you are not benefits-eligible but would like to attend QuickStart to learn about account setup and access, payroll, parking, onboarding or to get your Western ID card, please let us know.

During your first weeks

  • Mandatory Prevention Training (look for emailed instructions)
  • New Faculty Orientation activities occur once a year, in the Fall. If you are starting in the Fall you will receive more information about these events via email. If you are starting at a time other than Fall you are welcome (but not required) to attend a New Employee Orientation session, which are offered monthly. Please reach out anytime with questions or requests to join an orientation session.

Within your first month

  • Return benefits paperwork to HR by your deadline: generally 31 days after your start date. Your new hire portal will have your specific due date and enrollment documents.
  • Review the Faculty Handbook and its appendices.

Within your first 6 months

  • If your role is Supervisory, you must complete the mandatory Leadership Academy Training series
